How to sign an NDA in person (and skip the email chase)

August 26, 2026

The classic NDA workflow is backwards. You have the meeting. Someone says “I’ll send an NDA.” A PDF lands hours later. Legal (or whoever is pretending to be legal) redlines it. The other person is already on a plane. The confidential part of the conversation already happened.

If you are in the same room — or on a video call with phones in hand — you can sign first and talk second. That is what Instant NDA is for.

Why after-the-fact NDAs fail in practice

  • The sensitive details are already spoken
  • Follow-up email sits under a pile of other attachments
  • Version control: “Did you sign the one I sent Tuesday?”
  • One party never creates an account on the other party’s e-sign tool

An in-person flow that takes seconds

Open Instant NDA, start a session, and share the join path that fits the room: a QR code across the table, a short link, or a join code read aloud. The other person does not need an account. Both of you review the same mutual NDA on your phones, sign, and each receive a PDF by email.

That works for a lobby meeting, a coworking table, or a hallway at a conference. If you cannot sit together, the same session can finish async — still one document, still two signatures, still a PDF. See the product steps on the Instant NDA homepage.

What to have ready before you tap Start

  • Your name, company, title, and the email that should receive the PDF
  • The U.S. business state Instant NDA should use for state-aware clauses
  • A 30-second explanation: “Mutual NDA, both of us, copies by email.”

In person, on a call, or later the same day

Face-to-face is the fastest path, but the same idea applies when you are not in one room. Share the session link in the Zoom chat. If they need five minutes, they can join when they are ready. What you are avoiding is a new document drafted from scratch after everyone has already talked.

For events and hallway intros, pair this with when a handshake is not enough. For the paper itself, start from a mutual NDA rather than a one-way form.

Open the Instant NDA web app on your phone and run a session the next time you would otherwise say “I’ll send something over.”

Instant NDA is not a law firm and does not provide legal advice. It facilitates execution of mutual NDAs; you are responsible for the terms you sign.
